Three tenders in one fortnight and every senior committed: overflow support for NZ quantity surveyors

Three submissions due inside a fortnight, a takeoff nobody has capacity for, and a variation valuation that needs a second pair of eyes before it goes out under your name. You do not need another hire. You need capacity this month and independence on the numbers that carry your signature.

Quick answer: This page is for quantity surveyors — in practice or in-house — who need overflow capacity in peak weeks, or an independent check on a number before it goes out under their name. Trueworks provides analyst support to your practice: takeoffs, bill-of-materials builds, rate benchmarks, variation valuations, and tender risk registers, delivered as working documents your practice can adopt, with the method stated so you can defend every figure as your own work product. We are not a competing consultancy. Your client relationship stays yours, we do not appear in your deliverables unless you want us to, and an NDA is standard. Review-scale work returns within 24 hours per document; larger takeoffs are scoped at intake with the deadline confirmed before we start. Engagement is per job — use us three times in a peak month and not at all in a quiet one.
If this is your week
Three tenders landed in the same fortnight and the resourcing plan assumed two.
A takeoff needs doing this week and every senior is committed to submissions.
A variation valuation is about to go out under your name and nobody independent has looked at it.
You inherited a rate from an old job file and you are due to defend it in a meeting on Thursday.
Your QA system says "independent review", and what actually happens is a colleague skims it on Friday afternoon.
Hiring for a peak that lasts six weeks a year is not a business case, it is a standing overhead.
The in-house QS is one person, that person is you, and leave is theoretical.
What we actually do for you
You send the drawings, the schedule, the contract extract, or the valuation file — whatever the piece of work needs. We return the analysis in the form your practice actually uses: a takeoff in a working spreadsheet you can edit and adopt, a rate benchmark with the band and the basis stated, a variation valuation built against the contract mechanism it relies on, a risk register itemised and costed as ranges. Every deliverable carries a method statement — measurement conventions, sources, assumptions, exclusions — because a number you cannot defend is not support, it is exposure.
The positioning matters, so here it is plainly. Trueworks is analyst support to your practice, not a competing consultancy. We do not market to your clients, we do not appear in your deliverables unless you choose to name us, and we do not take referrals from your jobs. The work is yours to review, amend, and sign. Where you want a genuinely independent second opinion — on a big rate, a contested valuation, a tender total — we state our conclusion and the reasoning in writing, and you decide what to do with it.

How it works
Send the piece of work. The documents as issued, your template if you want the output in it, and the date you need it back. Deadline first — we confirm feasibility before anything starts.
We do the analysis. Takeoff, benchmark, valuation, or register, built to stated conventions. Queries come back to you the same day they arise, batched so you are not drip-fed interruptions.
You receive working documents. Review-scale work within 24 hours per document; larger takeoffs scoped per job at intake. You review, adjust, adopt, and issue under your own name.
What lands back on your desk
The takeoff or bill of materials in a working spreadsheet structure your practice can adopt and edit
A method statement: measurement conventions, sources, assumptions, and exclusions, stated up front
Rate benchmarks with the band and the basis given — never a bare number
For valuations: the build-up, the contract mechanism relied on, and the sensitivity range
A risk register where the engagement calls for one, itemised and costed as ranges
A short written opinion where you asked for one — what we would sign and what we would not
Where this catches real problems
The discipline layer is often what a second pair of eyes adds. On an electrical tender we separated the cost floor from the target price — what the job costs from what the job should be priced at — so the margin decision was visible instead of buried in padded rates. That separation is exactly what an independent reviewer can hold a line on when the submission team is tired and close to the number.
Risk registers earn their keep before submission, not after award. The 13-point civils tender risk register came out of a conditions-and-documents review under NZS 3910 conventions — the kind of structured pass that peak-week pressure squeezes out first, and that a practice can subcontract without giving up the client or the credit.
And sometimes the takeoff itself is where the value hides. A cross-check of the civil bill against the consented documents found a five-figure item the drawings did not show — stormwater attenuation the design implied but never drew. An overflow takeoff done with method stated is how that item ends up in the bill instead of in a dispute.
Trueworks runs quote-checks, tender pricing packs, and risk registers for NZ trades and subcontractors — code-cited, in writing, priced per job. Get your first quote check →

FAQ — QS overflow support
Q1: Are you competing for our clients? No, and the engagement terms say so in writing. We provide analyst support to your practice; your client relationship, your branding, and your fee arrangement stay untouched. We do not market to, contact, or accept work from your clients on the jobs you bring us.
Q2: Whose name goes on the work? Yours. Deliverables arrive as working documents for you to review, amend, and issue as your own, with the method stated so your review is real rather than ceremonial. If you prefer to name Trueworks as the independent reviewer — some practices want that for QA evidence — that is your call.
Q3: How do we know the numbers are defensible? Every figure comes with its basis: measurement conventions, sources, assumptions, exclusions, and where relevant the contract clause or standard relied on. If a number is soft, the packet says it is soft and gives the range. You should be able to sit the file in front of a client, an adjudicator, or a reviewer and walk them through it.
Q4: What about confidentiality? NDA standard, before any documents move. Files are processed on NZ-hosted systems and deleted after 30 days unless you ask us to retain them. Nothing from your jobs is reused, benchmarked across clients, or disclosed.
Q5: What is the turnaround? Review-scale work — a rate check, a valuation second opinion, a risk pass — within 24 hours per document. Full takeoffs depend on the package and are scoped at intake, with the deadline confirmed before we start. If we cannot hit your date with quality intact, we say so before you commit anything.
